Refund & Cancellation Policy

What happens to retainers, milestone payments and vendor deposits if plans change.

Last updated: [PLACEHOLDER: effective date]

This document is a template prepared for Anisha Langford Events LLC. It is provided for informational purposes only, is not legal advice, and does not guarantee compliance with any federal, state or local law. Bracketed placeholders must be reviewed, completed and approved by qualified counsel before publication.

1. Scope

This policy applies to payments made to Anisha Langford Events LLC for event planning and event management services. Where a signed services agreement states different terms, that agreement controls.

2. Retainers

The retainer reserves your date and covers initial planning work. It is [PLACEHOLDER: state whether the retainer is non-refundable, and any exceptions] because we decline other bookings for that date once it is confirmed.

3. Cancellation by the client

Unless your agreement states otherwise, our standard schedule is:

  • More than [PLACEHOLDER: e.g. 120] days before the event: [PLACEHOLDER: refund percentage of amounts paid beyond the retainer].
  • [PLACEHOLDER: e.g. 60–120] days before the event: [PLACEHOLDER: refund percentage].
  • Fewer than [PLACEHOLDER: e.g. 60] days before the event: [PLACEHOLDER: refund percentage — typically none, as work is substantially performed].

Cancellation requests must be submitted in writing to Ani@anishalangford.com.

4. Vendor deposits and third-party costs

Amounts already paid to venues, caterers, rentals, entertainment and other vendors are governed by those vendors’ contracts and are generally non-refundable. We will request recoveries on your behalf where a vendor’s terms allow, but we cannot guarantee them.

5. Postponement

One postponement to a mutually available date within [PLACEHOLDER: e.g. 12 months] may be accommodated for a rescheduling fee of [PLACEHOLDER: fee amount], subject to our availability. Vendor rescheduling terms and any price differences are your responsibility.

6. Cancellation by us

In the unlikely event we must cancel for reasons within our control, we will refund all fees paid to us for services not yet performed and make reasonable efforts to refer a qualified replacement planner.

7. Force majeure

If an event cannot proceed due to circumstances beyond either party’s control, we will first work to reschedule. Where rescheduling is not possible, fees for services already performed remain payable and unearned amounts are handled as described in [PLACEHOLDER: reference the force majeure clause of your services agreement].

8. How refunds are issued

Approved refunds are returned to the original payment method through Square, normally within [PLACEHOLDER: e.g. 10 business days] of approval. Bank posting times vary. Processing fees [PLACEHOLDER: state whether processing fees are retained].

9. Disputes and chargebacks

Please contact us before filing a chargeback — most issues are resolved quickly. We reserve the right to respond to chargebacks with the signed agreement, invoices and delivery records.

10. Billing errors

If you believe you were charged in error, notify us within [PLACEHOLDER: e.g. 30 days] of the charge with your invoice number and we will investigate and correct verified errors promptly.
